The ACLU of Texas seeks a highly motivated individual with a passion for civil rights and civil liberties, as well as having the initiative and energy to see projects/tasks to completion. The Development Operations Associate reports to the Development Operations Manager and helps coordinate departmental operations, processes and systems, data entry and integrity, and management of the Constituent Relationship Management (CRM) system. The Development Operations Associate also supports departmental needs through administrative functions such as coordination and planning of meetings and special events.

The Development Operations Associate is expected to participate in the Development team as a cooperative, positive team player; develop a solid understanding of ACLU’s structure, programs, office protocols, and equipment; and help maintain a respectful, welcoming, and professional office environment. The responsibilities below outline primary areas overseen by the Development Operations Associate.

Primary Responsibilities

  • Stewardship of Donor Gifts (40%)
    • Appropriately and promptly steward donor engagement by processing and acknowledge donations in a timely manner;
    • Handle donor inquiries and maintain external giving vehicle accounts;
    • Coordinate monthly mailings to each new member-contributor;
    • Coordinate monthly mailings to each new member-contributor;
    • Assist with all printed and electronic mailings and the dissemination of information for donors, members, constituents
  • Database and Donor Management (40%)
    • Ensure appropriate stewardship of donor intent through accurate gift entry in the CRM (Salesforce);
    • Conduct monthly and annual gift reconciliation with the ACLU of Texas Finance Department and the ACLU National Office;
    • Assist with departmental operations including data management, campaign coding and tracking, donor research, coordination of processes and procedures, and the creation of timely, useful internal reports that help the Development Department evaluate its program and maximize its work;
    • Reporting includes reports for the Board of Directors and management of a Board thank-you program
  • Administrative Functions within Development Department (20%)
    • Help manage and meetings and special events;
    • Schedule and organize appointments and meetings, providing oversight of meeting logistics and follow-up;
    • Compile data and information for special projects and reports;
    • Maintain development supplies for general office use in Houston and for offices across the state;
    • Attend and assist at certain ACLU functions such as membership conferences, receptions, and board meetings;
    • Complete and submit expense reports for certain staff members;
    • Provide operations support for other duties related to portfolio cultivation, content development, and grant coordination as assigned.

The Development Operations Associate must have:

  • Experience in database work and database management, with experience with Salesforce CRM highly preferred;
  • Strong interpersonal and communications skills and a high level of professionalism;
  • Ability to communicate effectively and respectfully with donors, board members, volunteers, and fellow staff members;
  • Ability to problem-solve, multi-task, and work independently;
  • Proficiency with Microsoft Office Suite;
  • High ethical standards and a commitment to the confidentiality of donor records

 The following are preferred qualifications of the Development Operations Associate:

  • Bachelor’s degree;
  • Nonprofit experience;
  • Customer service experience;
  • Exceptional writing skills
